Title: Office Manager and Facility Coordinator

Salary: $23-$25/hr

Status: part-time; 17-25 hours/wk

FSLA: Non-exempt, hourly

Reports to: Pastor

Directly Supervises: Office Volunteers

Required Hours: Mondays - Thursdays, 9am-1pm

Effective: October 10, 2024

Job Summary: The Office Manager and Facility Coordinator will oversee the functionality and appearance of the church office, supervise office volunteers, perform finance secretarial duties such as paying bills and keeping donor records up-to-date, receive requests, schedule events that occur in the building on the church-wide calendar and work with the Sexton to ensure they are successful, and facilitate church-wide communications including but not limited to website updates, email newsletters, and printed media. This position has potential to grow in hours in order to support operational and marketing needs of the Genesis Art gallery owned and operated by the church.

Essential Functions:

  • Paying bills and assigning expenses to appropriate budget line items for bookkeeping

  • Administering payroll tasks not done by our virtual bookkeeping service (external benefits payments, etc.)

  • Receiving donations and payments to church and assigning them to appropriate budget line items for the bookkeeper

  • Making weekly deposits and keeping financial records per church recordkeeping protocols

  • Coordinating the church’s building use calendar

  • Maintenance of paper records

  • Responding to requests for building use, communicating costs and use requirements, and being the primary staff point person for events that occur on-site

  • Ensuring the Office is maintained in a presentable state and overseeing volunteer team members who serve as receptionists during office hours

  • Procurement and inventory maintenance of necessary office supplies

  • Maintenance of the Church Website (www.lumc.net)

  • Preparation and distribution of the Weekly Newsletter in collaboration with church staff

  • Preparation of weekly church worship bulletin

Physical Requirements

  • Ability to lift and carry up to 25 lbs.

  • Ability to ascend stairs to get to portions of the building inaccessible by elevator.

Desired Experience and Qualifications

  • At least 1 year of experience in an administratively oriented job

  • Knowledge and application of Microsoft Office programs (Word, Excel, Powerpoint) or their Apple equivalents (Pages, Keynote, Numbers),

  • Knowledge and application of Google Workspace

  • Knowledge and application of a Church ChMS (Church Management Software) such as Breeze or Planning Center. (or willingness to learn)

  • A basic understanding of Generally Accepted Accounting Practices to read financial reports (or willingness to learn)

  • Competence with a Copier Machine to perform advanced printing jobs like brochures and cardstock media (or willingness to learn)

  • Competence with Adobe software (or willingness to learn)
